Booking.com: Synchronise bookings prices availability

Connect a property you already have on Booking.com in Settings > Channel Manager > Booking.com > Mapping so that Beds24 sends prices, availability and restrictions to Booking.com and imports bookings, modifications and cancellations. Beds24 is a long-standing Booking.com Premier Partner: once connected, you manage Booking.com from Beds24.

Note: To create a property in Beds24 from your Booking.com listing instead, see Booking.com: Import Properties from Booking.com to Beds24.

Quick Guide

  1. Request the connection in the Booking.com extranet under Account > Connectivity Provider and tick all tick boxes.
  2. Enter your Booking.com hotel ID in Settings > Channel Manager > Booking.com > Mapping and click Save.
  3. Map your rooms and rate plans with Get Codes, and set Enable for each room.
  4. Import your upcoming bookings and check Price Data.

Capabilities and limitations

With the Booking.com connection you can:

  • send prices and availability, including several prices per room, with a multiplier to mark prices up or down
  • create Booking.com rate plans for more pricing options
  • send minimum stays, maximum stays, closed to arrival and closed to departure
  • import new bookings, modifications and cancellations. You can turn off importing modifications and cancellations for individual bookings.
  • report no-shows, date changes, guest misconduct and invalid cards to Booking.com. With Stripe, invalid cards can be reported automatically.
  • create and manage Booking.com promotions
  • read and reply to reviews, and message guests

Limitations

  • Extras, taxes and fees aren't sent or updated. Set them in the Booking.com extranet, unless you manage your full Booking.com content from Beds24 (see Fees and taxes).
  • Beds24 imports only confirmed bookings. If you accept requests only, accept the booking in the Booking.com extranet; it's imported once confirmed.
  • With linked prices, only the room the price is set up for updates instantly. Linked rooms update with the next routine update, or when you click Update.
  • Same-day cut-off (advance hours) can only be changed in the Booking.com extranet and by Booking.com support once the XML connection is active.
  • Booking.com has a default maximum stay of 30 days. See Stays longer than 30 days.

For how changes are sent, see Updates and changes.

Before you connect

Set up all your prices, rooms and bookings from other sources in Beds24 before you connect. Once you send availability, Booking.com requires prices from Beds24, so you can no longer set prices in the Booking.com extranet.

  • The prices you want to send need Booking.com active under Channels. See Setting Prices for Booking Channels.
  • Beds24 can't import bookings made before Booking.com was connected as a channel. Add them in the Calendar with Add booking, or import them from a .csv file in Settings > Properties. See Existing bookings.
  • Your rooms and room types in Beds24 must match Booking.com. If you sell rooms individually elsewhere but as one room type with a quantity on Booking.com, set up virtual rooms.

Prices for Booking.com

Beds24 sets newly connected properties to Occupancy Pricing (OBP), so it can send a price for each occupancy in your Beds24 prices. You can still send only one price per day for the full occupancy. For all pricing models, see Booking.com pricing models.

  • Daily prices: a price for each date and occupancy is sent. Several occupancy prices can be sent on each rate plan, and the extra person price is sent. See How to setup Daily Prices.
  • Fixed prices: the 1 person, 2 person and room price are sent, the room price for the occupancy you specify. Several fixed prices with different occupancies can be sent on the same rate plan. Extra Person, Extra child and discounts on the Discounts tab can't be sent.
  • Derived (RLO) prices: to keep them, the prices you send must be right for the Booking.com "base number of guests", so Booking.com can calculate the others. To send prices for each occupancy from Beds24 instead, ask Booking.com to remove all linked prices, then change the rate type in Beds24 to Per Occupancy Pricing.

Dorms

For dorms, Booking.com needs the bed price sent as the room price and doesn't accept a single price, so Beds24 adjusts your pricing model manually. Don't activate the connection yourself: send Beds24 a support ticket saying you have dorms on Booking.com. To send a single price for other rooms, create more rate plans in Settings > Channel Manager > Booking.com > Rate Plans.

Stays longer than 30 days

Booking.com can raise its default maximum stay of 30 days on request:

  1. In the Booking.com extranet, go to Property > Property Policies > 30+ Nights Monthly Stays, click edit and set the details.
  2. In Beds24, set the same value in Settings > Channel Manager > Booking.com > Specific Property Content > Property Detail > Max Length of Stay.

Warning: The values in Booking.com and Beds24 must match, or Booking.com may reject your updates. Once the maximum is above 30, you can also send minimum stays above 30.

Connect your Booking.com property

Follow the steps in order. The connection goes through four stages:

  1. You request the connection in the Booking.com extranet. Nothing changes: you're still bookable with the prices and inventory in the extranet.
  2. Booking.com and Beds24 accept the request. Nothing changes yet. Map your rooms and rates, check everything and import your existing bookings.
  3. You activate the connection in Beds24. Booking.com removes your inventory and rates, and you're briefly not bookable.
  4. Beds24 sends prices and availability, and you're bookable again. Click Update to send them straight away.

Bookings aren't removed from the Booking.com extranet: existing and new bookings are always visible there.

Step 1: Request the connection at Booking.com

  1. In Settings > Channel Manager > Booking.com > Mapping, click Connect to Booking.com, log in to Booking.com and go to Account > Connectivity Provider. With a Booking.com group account, log in to Booking.com, go to Account > Connectivity Provider and select Beds24 there.
  2. Search for Beds24.
  3. Tick all tick boxes.
  4. Complete the rest of the on-screen instructions. Booking.com notifies you when the connection is ready.
Booking.com connectivity provider settings with all tick boxes ticked for Beds24

Note: For a two-way connection, select both Reservations and Rates and Availability. With only one of them, the connection is one-way and you maintain the other manually. To change a one-way connection to two-way, disconnect Beds24 in the Booking.com extranet and request the connection again with both selected.

Warning: With Connect me automatically to the provider, Booking.com removes your prices and availability straight away, so only choose it if your prices in Beds24 are ready to send. With Don't connect me automatically to the provider, you activate the connection yourself after the setup in Beds24.

Step 2: Enter your hotel ID and settings

  1. Copy your Booking.com hotel ID into Hotel Id and click Save.
  2. Set Booking.com Rate Type. Per Occupancy Pricing is the default. See Booking.com pricing models.
  3. Set Booking Price Import to import the room price only, or the room price plus unpaid extras such as cleaning charges and local taxes.
  4. Optional: to mark prices up or down or convert the currency, enter * and the multiplier in Multiplier, for example *1.23. Add * after it (*1.23*) to convert the price of imported bookings back. See Price multiplier.

Step 3: Map your rooms

  1. Click Get Codes next to the room ID setting. Beds24 retrieves your room IDs from Booking.com.
  2. Click the Booking.com room you want to map to the Beds24 room.
  3. Check that the right room ID is copied into the setting and click Save.

Step 4: Map your rate plans

With one Booking.com rate plan:

  1. Click Get Codes next to the rate ID setting. Beds24 retrieves the rate IDs for the saved room.
  2. Click the Booking.com rate plan, check that its ID is copied into the setting and click Save.

With more than one Booking.com rate plan:

  1. Map your standard rate plan here, as above.
  2. Open each price you want to send to another rate plan (Prices > Daily Prices or Fixed Prices).
  3. Click Get Codes, choose the Booking.com rate plan this price updates, check the ID and click Save. See Map channel rate codes.

Warning: You can only map the rate plans Booking.com shows under Get Codes. Don't enter any other numbers. Linked (child) rate plans at Booking.com, for example for refundable and non-refundable options, can't be updated from Beds24: deactivate them in Booking.com, or create rate plans in Beds24.

Step 5: Enable your rooms

  1. Scroll down to the rooms and set Enable = Enabled for each room type.
  2. Click Save.

Tip: To import bookings first without sending anything to Booking.com, set Enable = Import (1 way only), import your bookings (step 6), then change it to Enabled.

Step 6: Import your upcoming bookings

  1. Click Import Existing Bookings. Beds24 imports 10 bookings per click, so repeat until all are imported.
  2. Import bookings from Airbnb and Expedia from those channels once you've connected them.
  3. Add bookings from other sources in the Calendar with Add booking, or import them from a .csv file in Settings > Properties.
  4. To close more dates or limit check-in and check-out, use Override in the Calendar.

Warning: All dates available in Beds24 are sent to Booking.com as available. If existing bookings don't import, their dates can be sold again. Import them from a CSV file instead: export your bookings as CSV from Booking.com, then click Import booking from CSV file in Settings > Properties. If that also fails, block the dates in the calendar. Cancellations and modifications for these bookings aren't imported automatically.

Step 7: Check what will be sent

Click Price Data for each room type to check which prices and availability Beds24 will send to Booking.com.

Step 8: Activate the connection

When you activate the connection, Booking.com removes your prices and availability and replaces them with the ones Beds24 sends. Activate it once your mapping and prices are correct and all upcoming bookings are in Beds24.

  1. Click Activate Connection, then Activate Connection Now.
  2. Click Import Existing Bookings again and check that the booking details are updated.
  3. Click Update and check that the prices and availability are updated at Booking.com.

Warning: If you have dorms, don't activate the connection yourself. See Dorms.

Step 9: Turn off Auto-Replenishment (optional)

Beds24 reopens rooms automatically when you have availability. With Auto-Replenishment on, Booking.com reopens a room as soon as a guest cancels, without waiting for Beds24, even if you have a booking from another source. To turn it off:

  1. Log in to Booking.com and open the Rates & Availability tab.
  2. Click the settings icon in the top right of your calendar and click Auto-Replenishment.
  3. Under Calendar Settings, click No.

Step 10: Check the connection

Click Refresh next to Connection Status to check your property's status at Booking.com. The connection works and your property sells if:

  • you see Connection Status: XML Active and Hotel Status: Open / bookable
  • you don't receive error messages
  • your listing shows correctly at Booking.com. View at Booking.com opens it.
Status Meaning and what to do
Ready to Open Booking.com has reviewed the property and it's ready to open. Open it in the Booking.com extranet, or click Open property in Settings > Channel Manager > Booking.com > Sync Content.
Open / Bookable The property is live on Booking.com and can receive bookings.
Autoclosed: Availability The property has no availability and was closed. Click Price Data in Mapping to check what's sent, and adjust your prices and inventory if needed.
Duplicate Booking.com found the property to be a duplicate of another property.
XML: Closed The property was closed. Open it in the Booking.com extranet, or click Open property in Sync Content.
Closed The property is closed and no longer bookable. Check the Booking.com extranet for details.

After the connection is activated

  • Changes to availability and prices are sent instantly. Changes to settings, such as minimum stays, the number of rooms or the multiplier, go with the next update. Click Update to send them straight away.
  • To change same-day cut-off (advance hours), ask Booking.com support to change it for your property.
  • Booking.com stops sending you booking notifications. Beds24 sends them instead, and new bookings show on your dashboard with the Latest Bookings module. See Bookings from channels.

Messages with Booking.com guests

Message Booking.com guests from Beds24. The API Messages component on the Dashboard shows all messages Booking.com makes available, and the Messages tab of the booking shows the conversation with one guest. You and your guests also see the messages in the Booking.com Messaging Center. See OTA Messages.

  1. Add the API Messages component to your Dashboard.
  2. To send Auto Action messages through Booking.com, set Send Message on the Messaging tab of the Auto Action to one of the API options. See Auto Actions.
  3. The booking must be in a property connected to Booking.com with the messaging API, otherwise messages go by email. If you're not sure your connection includes messaging, reconnect Beds24 with all tick boxes ticked (Step 1).

Messaging limits

  • Guests must click View Messages in the Booking.com email and answer from Booking.com. If a guest replies to the email, Booking.com doesn't pass the reply on to Beds24 or show it in Booking.com.
  • Booking.com doesn't allow links or PDFs in messages. Use .jpg or .png attachments instead.
  • Don't use special characters such as * or @ in message texts. They fail the Booking.com security checks and the message isn't sent.
  • If you use dependencies, you can only assign or move the booking to a room in the same property as the room mapped to Booking.com.
Who Can send messages
Property From the booking until 7 days after check-out, or until 7 days after the booking is cancelled
Property, after a guest message 14 more days to reply, however long ago the guest checked out or cancelled
Guest From the booking until 66 days after check-out

Manage bookings

Credit cards, virtual cards and payments

  • Credit card details are imported and shown on the Invoice tab of the booking, unless they're stored in a third-party system such as Stripe. See Card Number Collection.
  • Payments collected by Booking.com show as a payment on the Invoice tab. The Details tab shows the current payout at Booking.com: for bank transfers, the amount and when it's due; for Booking.com virtual cards, the current amount on the card and when it becomes active.
  • Booking.com virtual cards can only be charged from their activation date.

To charge virtual cards automatically when they become valid, set Auto Process Virtual Cards = Yes. To charge the full amount available on the card at that moment, create a payment rule with Funds Source = Virtual Card and any Payment value adjustment except None, and select it in Virtual Card Payment Rule. See Stripe Channel Virtual Cards.

Warning: Automatic charging needs Stripe. Without Stripe, Beds24 creates a pending payment that can't be collected.

Report no-shows, invalid cards and changes

Buttons on the Details tab of the booking let you:

  • report a no-show
  • report an invalid card. With Stripe, you can report invalid cards automatically: set this in Settings > Channel Manager.
  • report changed stay dates
  • report guest misconduct
  • ask Booking.com to cancel the booking

Other changes to Booking.com bookings are made at Booking.com. Changing a booking's status to Cancelled in Beds24 doesn't cancel it at Booking.com and can cause a double booking. To keep a change you made in Beds24, set Allow Channel Modifications on the booking's Details tab, or as the default in Settings > Channel Manager. See Channel manager settings.

Info codes

Info codes on the Info tab of the booking show relevant information about the booking and the guest.

Code Meaning
BOOKINGCOMCARD Invalid card reported to Booking.com
BOOKINGCOMFLAG Booking.com general info flag (Genius, no credit card)
BOOKINGCOMVIRTCARD Booking.com sent a virtual card
BOOKINGCOMBANKTRANS Booking paid by bank transfer from Booking.com
CARDTOSTRIPE Card details were sent to Stripe
STRIPEPAYMENT Payment imported from Stripe
STRIPEFAIL Card couldn't be sent to Stripe
CARDEXPIRES The card expires before check-in

VAT on extras and invoices

  • If the name of an extra item in the booking matches an upsell item of the property, the upsell item's VAT is used. Otherwise, the VAT in the property's booking rules is used.
  • To use a different invoice template for Booking.com bookings, use Invoicees.

Reviews, promotions, rate plans and inventory

Disconnect Booking.com

  • Set Enable = Disable to stop Beds24 sending data to Booking.com. The data stays at Booking.com and the property is still bookable.
  • To disconnect the channel manager completely, log in to the Booking.com extranet, click the account icon in the top right, select Channel Manager and click Deactivate.

To pause the channel, see Temporarily Disconnect an OTA.

Topic Answer
Several Booking.com hotel IDs Create one Beds24 property for each Booking.com hotel ID. It doesn't matter if they're in different Booking.com accounts.
Guest confirmation Booking.com confirms the booking with the guest; Beds24 doesn't. To send your own confirmation or welcome message, set up an Auto Action.
Prices for minimum stays and guest numbers With Occupancy Pricing, Beds24 sends a price for each occupancy in your prices, and different prices for different minimum stays.
Extra costs and fees Not sent. Set them in the Booking.com extranet, or manage your full content from Beds24.
Booking price differs from your price Promotions or linked prices at Booking.com reduce the price Beds24 sent. Otherwise, check your prices in Beds24.

Troubleshooting

Booking.com errors are emailed to you with the message Booking.com returned, usually with the date, rate or room affected. For each error and common issues such as overbookings, missing card details or bookings that didn't import, see Booking.com error messages.
