How to setup the Dashboard

The Dashboard shows all relevant information on one screen and lets you manage bookings and rooms: an overview of bookings, arrivals and departures, check-in and check-out, changes to booking information, notes, and a housekeeping module for cleaning and maintenance. You choose which components it shows, where, and at what size.

Note: If you're using the old version of the Dashboard, click the Try it link to switch. To go back to the old version, click the padlock icon and then Legacy Dashboard.

Quick Guide

  1. Click the padlock on the right and tick Unlock.
  2. Add components from the drop-down menu, then drag and resize them.
  3. Use the menu (⋮) at the top right of a component to change its columns or remove it.
  4. Click the padlock again to lock the Dashboard.

Change or add information to bookings

In the Arrivals, Departures, Current Guests, Modified Bookings and Latest Bookings components you can add CQ editable custom question columns. They show the booking questions activated in Settings > Properties > Booking Questions, and you can edit them.

If you view one property, the column heading shows the name of the custom question. If you select a group or all properties, only the custom question number shows, because the custom questions can be different in each property.

Check guests in and out

With the Arrivals, Departures and Current Guests components you can manage check-in and check-out from the Dashboard and see which guests are checked in.

You can also check a guest in by opening the booking and setting the info code Checkin on the Info tab.

To limit the check-in function in the Dashboard components, use Check-in Rules in Settings > Account > Preferences.

Customise the Dashboard

  1. Click the padlock on the right and tick Unlock.
  2. Add components from the drop-down menu. See Component types.
  3. Drag and drop components to where you want them, and resize them.
  4. To add or remove columns, click the menu (⋮) of the component, go to Columns and tick or untick the columns.
  5. To remove a component, open its menu (⋮) and click Remove Component.
  6. If you have multiple properties, you can show one component per property. To show the property name, add the Property column.
  7. When you're done, click the padlock and Unlock again to lock the screen and avoid accidental changes.

Expected result: the Dashboard shows your components in the position and size you set.

To restore the default Dashboard, remove all content, then refresh the page.

Tip: Many components on one Dashboard can affect performance. Use multiple dashboards instead.

Component types

Type What it shows and options
Components Specially built reports. Select one or all properties, choose the columns and their order. Some components let you act directly, for example check a guest in or out.
Custom Reports A report you create in Reports > Custom Reports with Layout = tabular. Select one or all properties and the report from the list. The Dashboard shows the Report Name you entered.
Graphs Select one or all properties and the period.
Housekeeping Change the unit status and add a note. Changes show in the Calendar. Change the default statuses in Settings > Account > Preferences under Unit Status Values. Units lists your units with a status unrelated to bookings; Bookings lists your units with the status related to the bookings.
Potential Issues Issues with your setup that you should fix to avoid problems. Select one or all properties.
Statistics For most statistics you can change the period.
Notes An editable notes field that also accepts HTML. Use it to embed content from other systems by iframe, for example a Google doc, sheet or form, a calendar, information from the tourist office, or the weather.

Show external content

Use the Notes component to show content from an external system, such as task management, calendars or a weather forecast, in an iframe.

  1. Click Edit in the Notes component.
  2. Click Source.
  3. Add the iframe in this format, replacing https://myURL.com with the URL of the page you want to embed:
    <iframe frameborder="0" height="500" src="https://myURL.com" style="width: 100%;" scrolling="no"></iframe>
  4. Adjust the height value if needed.

Multiple dashboards and sub accounts

  • Multiple dashboards: set up several dashboards, for example one for desktop and one for mobile, and rename each one. Cookies remember which dashboard you last viewed on a device.
  • Sub accounts: use the clone function to make custom dashboards available in other accounts. Click the user icon at the top right, then Account Management (in the old control panel: Sub Account at the top right), and click Clone Account Settings.

Troubleshooting

Issue Likely cause Resolution
Locking and unlocking doesn't work Your browser is in private mode Use a normal browser window.
Notes component can't be edited The Notes component is on the Dashboard more than once Keep only one Notes component per Dashboard. Several identical Notes components on the same Dashboard aren't supported.
Housekeeping Units table can't be sorted A unit has two conditions, for example a departure and an arrival on the same day, which makes the table complex Set the component option Group by Unit (default Yes) to No for a simple table that can always be sorted.
