Online and offline passcodes

Beds24 sends booking data to TTLock locks as either an online or an offline passcode. Online passcodes are sent if PIN Strategy is set to anything other than Offline; offline passcodes are sent if it's set to Offline.

Passcode Advantages Limitations
Online
  • Can be customised to 4–9 digits.
  • Can be set automatically to handy numbers, such as the last 4 digits of the guest's phone number.
  • Can be updated or deleted.
  • The lock must be connected to the internet.
  • Passcodes must be unique in each lock: for example, two bookings can't both have the passcode 1234 in the same lock.
Offline
  • The lock doesn't need to be connected to the internet.
  • Can't be updated or deleted.
  • The passcode is 6–9 digits and can't be customised.
  • Passcodes must be unique in each lock: for example, two bookings can't both have the passcode 1234 in the same lock.
  • Start and end times must be on the hour: for example, a start time of 9:20 actually starts at 9:00.
  • Must be used at least once within 24 hours of the start time, otherwise it becomes invalid.
  • Several offline passcodes in the same lock can't share the same start and end time, including deleted passcodes.
  • A deleted passcode can't be created again with the same start and end time.

Connect TTLock

You need: a TTLock lock and the TTLock account that added the lock. For Beds24, the normal channel manager fees apply.

Go to Settings > Marketplace > TTLock.

Step 1: Connect your TTLock account

On the setup page, enter your TTLock username (usually a phone number or email address) and password.

Note: use the username you originally signed up to TTLock with. For example, if you first signed up with an email address and later added a phone number, enter the email address.

Note: the account you connect must be the top administrator account for the lock, most likely the account that first set up the lock.

Step 2: Set your PIN strategy

  • If you have offline locks, use the PIN Strategy Offline. TTLock then generates a PIN automatically, which you can't customise.
  • If your locks are connected by wifi, choose a PIN Strategy and click Save.
  • If your locks don't support 0, 7, 8 or 9 in the PIN, use one of the random (1–6) options: they create random numbers with only the digits 1, 2, 3, 4, 5 and 6.

Step 3: Connect a common lock (optional)

A common lock is a lock that all bookings in the property can open. You can only connect a common lock for wifi-connected locks. After you have selected and saved your PIN strategy, click Get Codes to set your common lock.

Bookings are sent to the lock mapped to the booking's room. If no lock is mapped for the room, the booking is sent to the common lock (if one is mapped). If both a room lock and a common lock are mapped, the booking is sent to both, with the same PIN. To set several common locks, enter the lock mapping codes with a space between each.

Step 4: Set when bookings are sent to locks

  • Start Time and End Time set the earliest check-in time and the latest check-out time.
  • Days in Advance sets how many days before check-in the booking is sent to the lock.

Step 5: Map your locks to your rooms

  1. Click Get Codes. You see one identifier and name for each lock.
  2. Select the correct lock and save.
  3. For each room or unit, click the name of the lock that belongs to the room.

Step 6: Send the PIN to guests

  1. Go to Settings > Guest Management > Auto Actions.
  2. Create an Auto Action email that includes the PIN template variable [BOOKINGINFOCODETEXT:LOCK_PIN].

Expected result: bookings are sent to your locks the set number of days before check-in, and each booking shows its passcode in the LOCK_PIN info code.

How syncing works

  • Bookings are sent to locks automatically the number of Days in Advance you selected before check-in.
  • Entry codes only work during the booking period, not before or after.
  • Updates to locks are sent periodically, about every 12 hours but at no fixed time of day. To send updates instantly, click Export to TTLock. Updates can't be sent to locks that aren't connected to the internet, but new offline bookings can be created for them.
  • An entry code named Booking {room id}/{booking id} - {guest name} is added to the lock. To check which bookings have been sent, click Lock Data.
  • Beds24 creates a booking info code LOCK_PIN on the Info tab of the booking with the access code.
  • If a booking date or room changes, the changes update in online locks.
  • If a booking is cancelled, its entry code is deleted from online locks.
  • The entry code of a booking sent from Beds24 is removed one day after check-out.

Warning: if a TTLock lock is offline, codes can be added but not updated or deleted.

Custom start and end access times

You can change the access start and end times per booking with booking info codes. The text is a time of day in 23:00 format.

Booking info code Effect Example
ACCESS_STARTTIME Overrides the default start time -10:00 starts access 10 hours before midnight of the check-in day, so 14:00 on the day before check-in.
ACCESS_ENDTIME Overrides the default end time 34:00 ends access at 10:00 one day after check-out (34 = 24 + 10 hours).

Times above 24 or negative times set the start and end dates relative to the check-in and check-out dates.

Troubleshooting

Issue / Error Likely cause Resolution
Invalid account or invalid password The username isn't the one you created your TTLock account with. Enter the same username and password you used to create your TTLock account.
You can't access the lock you want The account isn't the top administrator account for the lock. You can't access the lock, even if you can access it in the TTLock app with that account. Enter the top administrator account for the lock, most likely the account that first set it up.
You are using a low version APP. Please update it to the latest version and re-add the lock The lock was added with an old app version Delete the lock from the TTLock app and add it again.
