Send emails to guests from your own email address instead of a Beds24 address in Settings > Account > Outgoing Email. Guests then receive confirmations from your address, and you see the sent emails in your outgoing mail folder. If you don't use your own email, guests receive booking notifications from the system email address.
Quick Guide
- Go to Settings > Account > Outgoing Email.
- Set Sending Account to use your own email.
- Enter your SMTP details or your Mailgun Key and Domain.
- Click Save, then Send Test Email.

Settings
Sending Account sets whether email goes out through the system email server or your own email address. You can use your own email service through SMTP, Mailgun, or both: Beds24 tries your SMTP server first, then Mailgun. If both fail, the email is sent by the system email server.
If you use your own email address, these settings are required:
| Setting | What to enter |
|---|---|
| Email Address | The email address that sends the email notifications. |
| Mail Server | The email server that sends your email, for example smtp.gmail.com for Gmail. |
| User Name | The username for your email server, often your email address. |
| Password | The password for your email server. For Gmail, use an App Password: see Gmail. |
| Use Encryption | The encryption setting of the email server, for example SSL for Gmail. |
| Port Number | The SMTP port of the email server. Normally 25, but it can differ: Gmail uses 465. |
Note: If you entered a property email address in Settings > Properties > Description, guest replies to confirmation messages are sent in CC to that address. If you don't want this, leave the property email address empty.
Gmail
Use an App Password for your Gmail account. If you use your normal Gmail password, Google can block the emails or treat them as spam. See Google's help on App Passwords.
| Setting | Gmail value |
|---|---|
| Mail Server | smtp.gmail.com |
| Use Encryption | SSL |
| Port Number | 465 |
Create an App Password
For a Google Workspace (G-Suite) account, you may need these settings in Google to allow sending through Gmail:
- Open your Google Admin console (admin.google.com).
- Click Security.
- Under How you sign in to Google, click 2-Step Verification, follow the login steps, then select App Passwords. If you don't see the App Passwords link, open Google App Passwords directly.
- At the bottom, choose Select app = Email and Select device = Other (Custom Name).
- In the next window, enter
Beds24and click Generate. - Copy the generated password.
- In Beds24, go to Settings > Account > Outgoing Email, paste the generated password into the Password field and click Save.
Expected result: Beds24 sends your emails through Gmail. Click Send Test Email to check.
Note: If you don't have the App Passwords option, it can be because:
- 2-Step Verification isn't set up for your account.
- 2-Step Verification is only set up for security keys.
- Your account is through work, school or another organisation.
- You turned on Advanced Protection.
Microsoft Outlook and Hotmail
Warning: Outgoing email can't be sent with Microsoft Outlook or Hotmail accounts. Because of Outlook security limitations, Beds24 can't send email on your behalf with your username and password. Use another email service such as Gmail or Mailgun.
Mailgun
Mailgun is a mail sending service. You need a Mailgun account: get the Key and Domain values from it. See Mailgun pricing.
SPF record
Adding this SPF record to your sending domain can help deliver your emails and keep them out of spam. Your domain registrar can help you add an SPF record to your domain.
v=spf1 include:mail.beds24.com ~all
Troubleshooting
| Issue / Error | Likely cause | Resolution |
|---|---|---|
| Your email provider asks for authentication | Hotmail and other providers require you to allow third parties to send through your SMTP server. | Log into your email account, check its notifications or settings and follow your provider's instructions. If you can't find them, ask your provider how to let third parties like Beds24 send emails through your SMTP server. |
| Emails aren't sending | The outgoing email settings aren't working, or the Descriptive Sending Email Address is invalid. | Click Send Test Email to check your outgoing email. Check the Descriptive Sending Email Address: it can't be a word only. The pop-up help for the setting has examples of valid formats. |
| Emails are sending but guests don't receive them | A delivery problem, for example emails treated as spam. | Use a tool like Mail Tester to check what the problem is. Add the SPF record. |
