Occupancy Based Prices

Charge different prices depending on how many guests stay. Use Daily Prices (recommended) or Fixed Prices set for different numbers of guests, with an extra person price where it fits. Channels handle occupancy prices differently, so check their capabilities before you set up.

Example 1: price per number of guests

A family room sleeps up to four guests. It costs 100 for one guest, 150 for two, 170 for three and 190 for four.

Daily Prices (recommended): in Prices > Daily Price Rules, create:

  • Daily Price 1: Name = 1 Guest (for example), Price For = Up to 1 Person
  • Daily Price 2: Name = 2 Guests (for example), Price For = Up to 2 People, Extra Person price = 20

Then enter the prices in the new Daily Price rows in the Calendar.

Fixed Prices: in Prices > Fixed Prices, create a price with Single Price = 100, Double Price = 150 and Extra Person = 20.

Example 2: base price plus extra guests

An apartment sleeps up to six guests. The price for four guests is 100, and each additional guest costs 30.

Daily Prices (recommended): in Prices > Daily Price Rules, create Daily Price 1 with Name = 4 Guests (for example), Price For = Up to 4 People and Extra Person price = 30. Then enter 100 in the Daily Price row in the Calendar.

Fixed Prices: in Prices > Fixed Prices, create a price with Room Price = 100 for up to 4 people and Extra Person = 30.

Example 3: prices for groups of guests

A villa sleeps up to eight guests. Four guests cost 200, six guests 250 and eight guests 270.

Daily Prices (recommended): in Prices > Daily Price Rules, create:

  • Daily Price 1: Name = 4 Guests (for example), Price For = Up to 4 people
  • Daily Price 2: Name = 6 Guests (for example), Price For = Up to 6 people
  • Daily Price 3: Name = 8 Guests (for example), Price For = Up to 8 people

Then enter the prices in the new Daily Price rows in the Calendar.

Fixed Prices: in Prices > Fixed Prices, create three prices: Room Price = 200 for up to 4 people, Room Price = 250 for up to 6 people and Room Price = 270 for up to 8 people.

Example 4: extra adults pay, children free

A villa sleeps up to six guests: up to 4 adults and up to 5 children. Two adults cost 139, each additional adult 45, and children stay free.

Daily Prices (recommended):

  1. In Prices > Daily Price Rules, create Daily Price 1 with Name = 2 Guests (for example), Price For = Up to 2 people, Extra Person = 45 and Extra Child = 0.01.
  2. In the Calendar, enter 139 in the Daily Price row.
  3. Go to Settings > Properties > Description > Price and Currency and set Price Rounding to -0.10. This removes the 0.01 child price. If your property sleeps more than 10 guests, set it to -0.20.

Note: set Daily Price Strategy in Settings > Properties > Booking Rules to Allow Lower Prices, so the system doesn't use the highest price.

Fixed Prices: in Prices > Fixed Prices, create a price with Room Price = 139 for up to 2 people, Extra Person = 45 and Extra Child = 0.01.

Occupancy prices for channels

Many channels support prices for different occupancies. If you use the channel manager, check the capabilities of your channels before you set up your prices. There are three ways to send prices for several occupancies:

  • Occupancy prices at the OTA: occupancy prices set up in Beds24 are sent. Extra person prices in Daily Prices are sent. Extra person prices in Fixed Prices and extra child prices are never sent.
  • Derived prices: the channel calculates the other occupancies from one standard rate. Ask your channel contact to set this up. You then send only one price from Beds24. Not recommended for Booking.com, Expedia and other OTAs that support occupancy prices.
  • Multiple rate IDs: the channel sets up several rate IDs per room, each with its own booking conditions. Beds24 maps a different price to each rate ID.

For details, see Setting Prices for Booking Channels and the help page of each channel.
