Connect Stripe

  1. Go to Settings > Payments > Payment Gateways > Stripe.
  2. Click Connect to Stripe, log in to Stripe and accept the connection for Stripe Payment Processing. No Stripe account yet? Click Connect to Stripe and follow the instructions on screen to create one.
  3. Set the Stripe settings and save.

Expected result: Stripe is connected and shows as a payment option on your booking page.

Note: Stripe supports strong customer authentication and complies with PSD2. Check the security settings in your Stripe account for 3D Secure, PSD2 and other security matters.

Note: To use Stripe only for channel payments and not show it on your Beds24 booking page, set Enable to Internal Only.

Stripe settings

Pending payments that charge automatically, and charging a stored card from a booking, only work when you connect with the Connect button.

Setting What it does
Connect Connects your Stripe account. If you have several Stripe accounts, make sure you connect to the right one in your Stripe dashboard.
Enable/Priority Activates Stripe. With several payment gateways, the number sets the order on the payment page.
Save all cards to Stripe Yes sends all credit cards, including cards from all channels, directly to Stripe instead of storing them at Beds24.
Capture Yes collects the payment at the time of booking on your Beds24 booking page. No only authorises the card (see Authorise a card).
Stripe Checkout Version Embedded or Hosted. Hosted is needed for local payment methods. See the (?) context help.
Payment Description Description of Stripe payments in your Stripe dashboard. Not visible to the guest. Template variables can be used.
Title Your own title for this payment option.
Instruction Optional description shown next to the Stripe pay now button.

What you can do with Stripe

Send credit card details to Stripe

With Save all cards to Stripe = Yes, all credit cards, including cards from all channels, go directly to Stripe and aren't stored at Beds24. You can also send a card manually with the send to Stripe button (deprecated).

Send to Stripe button on the Charges and Payments tab of a booking

Collect a deposit for direct bookings at the time of booking

Payments for bookings with deposit collection on the Beds24 booking page are collected and/or captured automatically. The card is stored at Stripe and can be charged again later, manually or automatically. See Deposit Collection.

Send a payment request

Payments made through a payment request are collected and/or captured automatically. The card is stored at Stripe and can be charged again later. See Payment request links and parameters and Stripe Payment Request.

Authorise a card for later capture

Set Capture = No to authorise the card and capture the payment later. The maximum holding period depends on the card type and the country the card is from:

Card Maximum holding period
Visa 31 days (Japan: 7 days)
Mastercard 30 days
Discover 30 days
American Express 7 days

The template variable [AUTHORIZEUNTIL] returns the date until which a card is authorised.

Note: Authorisation beyond 7 days may only be available if your Stripe account's business type is "hotel" or "lodging". Other business types may be limited to 7 days. Contact Stripe support for details.

Charge a card manually

From the booking, choose whether the card is:

  • charged immediately, with the funds transferred to your Stripe account (Capture = Yes), or
  • authorised only: no funds are transferred now, and the amount can be captured later until an expiry date (Capture = No).

If the customer has several cards stored at Stripe, select the card to charge.

Charge a card stored at Stripe from the booking

Manage payments manually

The booking shows the status of all its payments stored at Stripe. Depending on the status, you can capture part or all of a payment, refund part or all of a payment, or release an authorisation.

Charge a card automatically

Add a pending payment to charge a card automatically on a set date. See How to setup Pending Payments and Payment Rules.

Charge virtual cards from OTAs automatically

Some channels send virtual cards that are often only valid for a certain period. Beds24 can charge them automatically when they become valid:

  1. Go to Settings > Channel Manager and set Channel Collect Payments to Charges and Pending Payments.
  2. In the channel settings (for example Settings > Channel Manager > Booking.com), set Virtual Cards to Yes.

Full setup with a payment rule: Stripe Channel Virtual Cards.

Card details at Stripe and info codes

A card sent to Stripe is saved as a new customer in Stripe, with the booking number as reference. Once the customer exists in Stripe, the card can be charged. You can send several cards for each Stripe customer and select one when charging. Stripe only accepts valid cards: if Stripe rejects a card, its details stay visible in Beds24.

Info codes on the Info tab of the booking show which action was performed:

Code Meaning
CARDTOSTRIPE Card details were sent to Stripe
STRIPEPAYMENT Payment imported from Stripe
STRIPEPENDING The guest chose a payment method that doesn't pay immediately. Replaced by STRIPEPAYMENT when the payment is made.
STRIPEFAIL The card couldn't be sent to Stripe
CARDEXPIRES The card expires before check-in
STRIPEAUTHORIZE The payment has been authorised by Stripe
STRIPEREFUND A refund has been processed at Stripe
CARDFAILSTRIPE The card failed at Stripe. The note gives the reason.

Tip: Use an Auto Action to mark bookings where charging failed. A template is available that you can customise. See Auto Action examples.

Local payment methods

Stripe offers many local payment methods, based on where the payer is.

  1. In Stripe, open the payment methods settings and select the platform called Payment Gateway. Enable or disable each method you want to show on your booking page and payment request page.
  2. In Beds24, set Stripe Checkout Version to Hosted.

Expected result: the guest is redirected from the check-out page to a Stripe payment page, where they select the payment method.

  • Each payment method can have different fees and conditions.
  • Not all methods confirm instantly: the payment may complete some time after the booking. Until then, the booking has the info code STRIPEPENDING, which is replaced by STRIPEPAYMENT when the payment is made.
  • Google Wallet doesn't work in an iframe. If you activate it, make sure your payment page isn't in an iframe.
  • Apple Pay is whitelisted for the beds24.com domain only. Don't use it if your booking page is on a white label domain.
  • Bancontact can take a few weeks to become available in your Stripe account after you activate it.

Refund payments

Refund payments fully or partially from within the booking: the booking invoice is updated too. If you refund in your Stripe account instead, enter the refund manually in the booking to keep the invoice up to date.

Stripe test mode

The easiest way to test is in live mode: don't capture the charges, or make small test payments and refund them in Stripe when you've finished. Stripe also has a test mode, but not all functions work in it. Pending payments don't work with the API key connection used for test mode.

Prerequisites: Stripe must be disconnected.

  1. Open Settings > Payments > Payment Gateways > Stripe.
  2. Add &showkeys to the end of the URL in the browser, so it looks like https://beds24.com/control2.php?pagetype=propertydepositstripe&showkeys, and press Enter.
  3. Enter your Stripe test publishable key and test secret key in the two extra settings and save.
  4. When you've finished testing, delete the two test keys and connect in live mode with Connect to Stripe.

Note: Don't use API keys to connect in live mode. Stripe considers this insecure and limits the functions.

Disputes

When cardholders dispute a payment with their bank, they must provide evidence for their claim. The bank's aim is often to protect its customers from paying for something they didn't authorise, or that they believe was misrepresented or damaged. As the seller, you can dispute the claim and provide evidence. Stripe has no control over the bank's decision, but offers guidance:

Change your Stripe account

If you've changed your Stripe account and have bookings with cards already stored or authorised at the old account, remove the old authorisation so you can send new cards to the new Stripe account.

Note: Only use this if you've changed your Stripe account. Select only the bookings whose card details you need to clear: this can't be undone.

  1. Go to Account Management > Manage Account > Manage Property > Manage Room > Bookings.
  2. Tick the bookings.
  3. In the drop-down list, select Modify All Selected Bookings, then Remove Payment Auth.

Expected result: the authorisation from the old account is removed, and new cards can be sent to the new Stripe account.

Troubleshooting

Issue / Error Likely Cause Resolution
A pending payment didn't trigger Stripe is connected with API keys (test mode). Pending payments don't work with this connection. Delete the keys and connect with Connect to Stripe.
"An error occurred while processing this card" when charging a Booking.com or Expedia virtual card Your merchant category code (MCC) isn't for accommodation. Virtual cards for bookings can only be charged with MCC 7011. Ask Stripe support to set your MCC to 7011.
The same error, with the MCC correct Booking.com and Expedia don't always send a CVC for virtual cards. Ask the channel for the CVC and re-enter it manually. For Expedia virtual cards, you can try the generic CVC: 469 for Visa and Mastercard, 2469 for American Express.
The same error, with MCC and CVC correct The amount doesn't match the amount sent by the channel. Charge the exact amount the channel sent with the booking.
Cards without a CVC are declined Stripe Radar requires the CVC. In your Stripe account, go to Radar and turn off the CVC requirement.
The Stripe payment form doesn't show in Internet Explorer 11 The booking page (and the Stripe form) is in an iframe. Add <meta http-equiv="x-ua-compatible" content="IE=edge"> to the parent page.
Unable to collect payments after changing your Stripe account (for example because the old account was blocked) The cards are still authorised at the old account. Remove the payment authorisation for those bookings: see Change your Stripe account.
