Capabilities and limitations

  • Beds24 sends booking data to Nuki locks.
  • Auto check-in: when the guest first opens a lock, Beds24 adds the info code CHECKIN to the booking.
  • Since 1 September 2023, you need a Nuki Smart Hosting subscription.
  • Nuki smart locks store a maximum of 100 entry codes at a time.
  • Booking names in Nuki smart locks have a maximum length of 20 characters, so guest names may be cut off. Guests don't see this: only users with access to Nuki Web can view booking names.
  • A lock can only be used in one property, but it can be used for several rooms in that property.
  • If you use the synchronise code option, all locks must support code entry.

Warning: one Beds24 account can only connect to one Nuki account. To connect several Nuki accounts, use sub accounts, each connected to a different Nuki account.

Before you connect

You need:

  • At least one Nuki Smart Lock.
  • A nuki.io account.
  • A Nuki Smart Hosting subscription. Special offer for Beds24 customers: get a 10% discount with the voucher code Beds24/10.
  • A Nuki keypad, if you want to use keypad codes.

For Beds24, the normal channel manager fees apply.

Connect Nuki

Go to Settings > Marketplace > Nuki.

Step 1: Connect your Nuki account

  1. Click Connect to Nuki.
  2. Sign in with your Nuki account if prompted.
  3. Click Allow to let Beds24 view and manage your Nuki account and locks.

Step 2: Set when bookings are sent to locks

  • Start Time and End Time set the earliest check-in time and the latest check-out time.
  • Days in Advance sets how many days before check-in the booking is sent to the lock.

Step 3: Map your locks to your rooms

  1. Click Get Codes. You see one identifier and name for each lock.
  2. Select the correct lock and save.
  3. For each room or unit, click the name of the lock that belongs to the room.

Bookings are sent to the lock mapped to the booking's room. If no lock is mapped for the room, the booking is sent to the common lock (if one is mapped). If both a room lock and a common lock are mapped, the booking is sent to both, with the same PIN. To set several common locks, enter the lock mapping codes with a space between each.

Step 4: Send the PIN to guests

  1. Go to Settings > Guest Management > Auto Actions. A template is available that you can customise. For instructions, use the context help (? icons) in the Auto Action and the help page (HELP in the top right menu).
  2. Create an Auto Action email that includes the PIN template variable [BOOKINGINFOCODETEXT:NUKI_PIN].

Step 5: Activate

  • Tick Code to give access by keypad.
  • Tick App to give access through the Nuki app.
  • Tick Code and App to give access both ways.

Expected result: bookings are sent to your locks the set number of days before check-in, and each booking shows its access code in the NUKI_PIN info code.

How syncing works

  • Bookings are sent to locks automatically the number of Days in Advance you selected before check-in.
  • Entry codes and users only work during the booking period, not before or after.
  • Updates to locks are sent periodically. To send updates instantly, click Send Bookings to Locks.
  • An entry code or user named Booking:{booking number} is added to the lock. To check which bookings have been sent, click View Bookings in Locks, or see web.nuki.io or the Nuki app.
  • Beds24 creates a booking info code NUKI_PIN on the Info tab of the booking with the access code.
  • If a keypad code, booking date or room changes, the changes are sent to the locks.
  • If a booking is cancelled, its entry code or user is deleted from the locks.
  • The entry code or user of a booking sent from Beds24 is removed one day after check-out.

Warning: if a Nuki lock is offline when an update is sent, the entry code isn't added until the lock is online again.

App and code entry

Bookings can be sent to locks by app, by code, or both.

App entry

With App ticked, bookings are sent to locks as users.

  • Nuki emails the guest an invitation. Guests who accept it can unlock the Nuki lock with the Nuki app.
  • Guests have 48 hours to accept the invitation.
  • You can't resend a Nuki app invitation the guest didn't accept in time. Instead, go to web.nuki.io, select Devices, click the smart lock, open the Users tab, find the booking and click delete. Then go to Settings > Marketplace > Nuki in Beds24 and click Send bookings to Locks: Nuki creates a new user and sends the guest a new invitation.
  • When the user is deleted from the lock, Nuki emails the guest that they no longer have access.

Allow remote app access

By default, guests must be close to the lock to unlock it with the app. Allow remote app access lets guests unlock it with the app from anywhere:

  • Yes: all bookings in the room can use remote app access.
  • Info code: bookings with the info code NUKI_REMOTE can use remote app access.

Code entry

With Code ticked, bookings are sent to locks as entry codes. Guests enter the code on a Nuki keypad to unlock the Nuki lock.

Change codes manually

  1. Go to Settings > Account > Preferences, section Bookings, and add NUKI_PIN to your Booking Info Code Values.
  2. You can now add a NUKI_PIN info code to your bookings manually.

Nuki keypad codes must:

  • be exactly six digits long
  • not contain the number zero
  • not start with 12
  • be unique to the lock

Warning: if you set an invalid NUKI_PIN manually, it's overwritten with a random PIN the next time bookings are sent to locks. Each code can only be used once per lock: before you can reuse a code, it has to be removed from the lock.

Custom start and end access times

You can change the access start and end times per booking with booking info codes. The text is a time of day in 23:59 format.

Booking info code Effect Example
ACCESS_STARTTIME Overrides the default start time -10:00 starts access 10 hours before midnight of the check-in day, so 14:00 on the day before check-in.
ACCESS_ENDTIME Overrides the default end time 34:00 ends access at 10:00 one day after check-out (34 = 24 + 10 hours).

Times above 24 or negative times set the start and end dates relative to the check-in and check-out dates.
