Capabilities and limitations

  • One connection updates Hotelbeds, GTA and Tourico Travel.
  • Beds24 exports inventory, prices and minimum stay. Only one room price is sent: if you have several prices, the lowest is sent by default.
  • Beds24 imports bookings and changes to bookings.
  • If you have several room types and make a change that applies to the whole property, the updates go one room type at a time. This then applies to all your channels.
  • Beds24 imports only bookings made after you connect. Enter existing bookings manually to block the dates, see Existing bookings.
  • Upsell items can't be exported.

For the full list, see Channel Manager Capabilities.

Before you connect

  • Beds24 only sends availability when you have prices that are active for Hotelbeds. See Setting Prices for Booking Channels.
  • Extra person and extra child prices, and discounts on the Discounts tab of fixed prices, can't be sent.
  • Card details: to see card details in Beds24, ask Hotelbeds to accept only bookings with card details and to always send all details to Beds24.
  • If you sell rooms individually elsewhere but as a room type with a quantity above one here, set up virtual rooms.

Connect Hotelbeds

You need: your Hotelbeds username and password.

Step 1: Request the connection at Hotelbeds

Email Hotelbeds support with the username you use for the Hotelbeds extranet and ask them to connect you with Beds24. Include:

  • the URL where reservations are sent: https://api.beds24.com/hotelbeds.com/booking
  • the email address where reservations are sent if Beds24 can't process them

Hotelbeds tells you when the BMS connection is ready.

Step 2: Enter your account data in Beds24

  1. In Settings > Channel Manager > Hotelbeds, enter your Hotelbeds username in Username and your password in Password.
  2. Click Get Contract List to see your contracts.
  3. Enter your Hotel Code, Contract Name, Sequence and office code (in Incoming Office Code).
  4. Click Save.

Step 3: Map your rooms

  1. Click Get Contract Detail to see your contract details.
  2. For each room you want to connect, enter the Hotelbeds Room Code and Room Characteristic.

Step 4: Activate the connection

  1. Click View Actual Data to check the availability and prices Beds24 will send. You can do this before or after activating.
  2. When everything is right, tick Inventory, Prices and Bookings.

Expected result: Beds24 sends your availability and prices and imports new bookings and changes. The connection works if you receive no error messages and Hotelbeds shows the right availability and prices. Changes to settings go with the next update, see Updates and changes.

Price multiplier

For Hotelbeds, add the multiplier to your contract name. For example, ABC*1.23 raises all prices for contract ABC by 23%, ABC*0.85 sends 85% of your normal price, and ABC*1.23* also divides the price of imported bookings by 1.23. See Price multiplier for all options, including currency conversion.

Multiple contracts

Enter the first contract in the channel manager settings, and tick Hotelbeds on the Channels tab of all prices you want to send to it. Each further contract needs its own prices:

  1. Open the daily prices or fixed prices you want to send to the second contract.
  2. Fixed prices: on the Channels tab, tick Hotelbeds and enter the contract name and sequence, separated by /.
  3. Daily prices: scroll to the enable list, tick Hotelbeds and enter the contract name and sequence, separated by /, under Enable.
Example Meaning
NRF-BAR/45678 Contract NRF-BAR, sequence 45678
NRF-BAR/45678/164 Same, with office code 164 when it differs from the channel manager settings

Prices without a contract go only to the first contract.

Note: to sync only inventory with several contracts, you still need a price for each contract. Untick Hotelbeds in a price to stop it being sent.

Manage Hotelbeds bookings

  • Invoice amount: by default, Beds24 imports the payout amount into the Invoice tab of new bookings. To import the amount the guest pays, set Invoice = Booking Amount in Settings > Channel Manager; the lodging amount and cleaning fee then show separately.
  • Different invoice template: enter an invoicee ID, and all new bookings from Hotelbeds are assigned to that invoicee. Existing bookings don't change.
  • Virtual cards: set Auto Process Virtual Cards = Yes to charge virtual cards automatically on the date they become valid. This needs Stripe: without Stripe, Beds24 creates a pending payment that can't be collected. If you charge virtual cards manually, you can only charge them after the card activation date.
  • Payment rule: you can attach a payment rule to the pending payment to control how it's collected, for example virtual card only, not the guest's card. Create it first in Settings > Payments > Payment Rules with Payment Source = Virtual card only, then select it in the Hotelbeds settings. See Payment Rules.

Info codes

Info codes on the Info tab of the booking show relevant information:

Code Meaning
VIRTUALCARD The channel sent a virtual card.
CARDTOSTRIPE Card details were sent to Stripe.
STRIPEPAYMENT Payment imported from Stripe.
STRIPEFAIL The card couldn't be sent to Stripe.
CARDEXPIRES The card expires before check-in.

For all Stripe info codes, see Stripe.

Troubleshooting

Error Likely cause Resolution
Incorrect user or password Wrong username, password or hotel code, or the connection isn't active Check your username, password and hotel code. If they're right, email hotelconnect@hotelbeds.com and ask them to check that the Beds24 connection is active.
This change is not permitted as it does not agree with the signed contract. Your Hotelbeds contract has a fixed allotment or restriction, for example on the minimum stay you can send Click Get Contract Detail to see which minimum stay restriction applies (MLOS=X), and make sure what Beds24 sends complies with your contract.

For general causes and fixes, see Troubleshooting in How the Channel Manager works.

Disconnect Hotelbeds

  • Untick Inventory, Prices and Bookings to stop Beds24 sending data to Hotelbeds.
  • To disconnect completely, sign in to your Hotelbeds extranet and remove the connection to Beds24.
