Sell gift vouchers that guests can redeem against a booking by setting up a separate gift voucher property. Beds24 has no dedicated gift voucher feature: the voucher is a booking in that property, and its unique booking number is the voucher code. Guests can redeem it in one, several or all of your properties.
Quick Guide
- Create a property with Type of Booking set to Activity, and one room per voucher type.
- Set prices, a booking page and 100% payment at booking.
- Customise the confirmation message with the redemption details.
- For each sold voucher, add the booking number and value as a voucher code on the booking page where it can be redeemed.

Expected result: guests can buy a voucher on the booking page and pay the full amount at once.
Send the voucher details
Go to Settings > Guest Management > Confirmation Messages and customise the confirmation message for the gift voucher property. Use Template Variables to tell the buyer how to redeem the voucher, and include the URL of the booking page where the voucher code can be used.
Track expiry dates
Add an expiry date to each voucher booking with an Auto Action, then list vouchers that are due to expire with a custom report.
Add the expiry date:
- Go to Settings > Guest Management > Auto Actions and create an Auto Action.
- In the Trigger tab, set:
- Trigger Event: Check-in
- Trigger Time: -365
- Trigger Window: 365
- Booking Source: All (for example)
- Booking Status: All not Cancelled
- In the Booking Info tab, set:
- Booking Info Code: EXPDATE
-
Booking Info Text:
[FIRSTNIGHT:365 days]. This sets the expiry date one year after the purchase date.
List vouchers that are due to expire:
- Go to Reports > Custom Reports and create a report named, for example, Gift Voucher – Due to expire.
- Set:
- Booking Date From: 365
- Booking Date To: 180
- Any booking info code: EXPDATE
- Drag in these columns: Group Ref, Booking Ref, Property, Room, Status, Booking Date, Invoice Charges and Booking Info Specified Columns.
Let guests redeem vouchers
You receive a booking notification with the booking ID of each voucher sold. Add the booking ID and the value as a voucher code, for example 23456789 100. When the guest enters the code in a later booking, they get a 100€ discount at the time of booking.
| Voucher valid for | Where to add the code |
|---|---|
| All your properties | Settings > Booking Engine > Multi Booking Page > Voucher Codes |
| One property | Settings > Booking Engine > Property Booking Page > Voucher Codes |
Expected result: when a code is used in a booking, it's deleted from the voucher code list.
Important Notes
- Expired codes stay in the list until you remove them, so they can still be used after the validity period. Use your expiry report and delete expired codes from Property Booking Page > Voucher Codes and Multi Booking Page > Voucher Codes.
