Capabilities and limitations

With the Expedia connection you can:

  • send inventory, minimum stays, maximum stays, closed to arrival and closed to departure
  • send several rates per room
  • import bookings, modifications and cancellations. You can turn off importing modifications and cancellations for individual bookings.
  • add a multiplier to prices, for example to convert to another currency
  • view, create and manage promotions
  • check the status of your property at Expedia
  • message guests from Beds24

Orbitz can also be updated through Expedia EQC once your property is connected to Expedia. Contact Expedia support for details. For how channels work in general, see How the Channel Manager works.

Limitations

  • Expedia doesn't send cancellation fees for cancelled bookings. Adjust them manually when Expedia notifies you of a cancellation.
  • Expedia rate plans with length of stay (LOS) enabled aren't supported.
  • Expedia doesn't send guest addresses.
  • With several room types, a change that applies to the whole property is sent for one room type at a time. This then applies to all your channels.
  • For some Expedia partner sites (affiliates), messaging through Beds24 isn't possible.
  • Upsell items can't be sent.

Before you connect

Set up your prices and rooms in Beds24 first. You need your Expedia hotel ID.

  • Beds24 only sends availability if you have prices active for Expedia. See Setting Prices for Booking Channels.
  • All upcoming bookings are imported.
  • If you sell rooms individually elsewhere but as one room type with a quantity on Expedia, set up virtual rooms.

Pricing models

Expedia pricing model What Beds24 sends
Per Day Pricing One price for the maximum room occupancy. Example: if the room takes 4 guests, you need a room price for 4 guests; prices for 1, 2 or 3 guests aren't sent. With daily prices and an Extra Person price, set the daily price for the maximum occupancy and enter the extra person price as a negative value, so the full-occupancy price can be sent.
Per Occupancy Pricing A price for each occupancy defined in Beds24, for up to 20 guests. Daily prices are sent with their occupancies, several occupancy prices per rate plan, including the extra person price. Fixed prices send the 1 person, 2 person and room price (for the occupancy you specify); several fixed prices with different occupancies can be sent on the same rate plan. Extra Person, Extra child and discounts on the fixed price's Discounts tab can't be sent.

Expedia's email when you connect tells you which pricing model you use. You can also check it in Settings > Channel Manager > Expedia > Rooms & Rates.

Dorms

Expedia gets the price per bed. You need a daily price or fixed price for one guest; with fixed prices, enter the bed price as the room price as well. Expedia support can add extra person fees at their end if you need them.

Set up the connection

Step 1: Select Beds24 as your channel manager at Expedia

  1. In the Expedia extranet, go to Expedia Connectivity Settings and select Beds24 as your channel manager. Expedia Connectivity Settings with Beds24 selected as channel manager
  2. On the Additional verification required page, follow the instructions. Expedia Additional verification required page

Expedia then sends you an email that also shows your pricing model. If you have problems, contact Expedia support.

Step 2: Connect your Expedia property to Beds24

  1. In Beds24, go to Settings > Channel Manager > Expedia.
  2. Enter your hotel ID and click Save.
  3. Select your Expedia price model: Per Day Pricing or Per Occupancy Pricing.
  4. Select your Expedia Acquisition type: Net, Sell or Set by rate plan ID.

You find the price model and acquisition type in Settings > Channel Manager > Expedia > Rooms & Rates and in the activation email from Expedia.

Note: If you have both sell and net rate plans, set Acquisition Type = Set by Rate plan id, remove the rate plan ID in Settings > Channel Manager > Expedia, and map the right Expedia rate plan in every price you send to Expedia.

Step 3: Map your rooms and rates

Map the rooms:

  1. Click Get Code next to the room type ID setting.
  2. Click the Expedia room type ID you want to map to the Beds24 room.
  3. When the room ID is copied into the setting, click Save.

Map the rates:

  1. Click Get Code next to the rate plan ID setting.
  2. Click the Expedia standard rate for the room.
  3. When the rate plan ID is copied into the setting, click Save.

For more occupancy levels or rate plans, set up more daily prices or fixed prices in Beds24 and map the Expedia rate plan in the price: for daily prices under Enable in Prices > Daily Price Rules, for fixed prices on the Channels tab. See Map channel rate codes.

  • The final selling price at Expedia may differ from the price sent. Check whether your Expedia account uses Sell Rate or Net Rate and adjust your prices.
  • Click View Actual Data to check which prices and availability will be sent. Prices Beds24 sends override the prices at Expedia but can't remove them. If Beds24 sends no prices, no availability is sent and the availability originally at Expedia shows.

Step 4: Enter registration details

If registration is mandatory for your property, click Registration details, then Update Registration and enter your details.

Step 5: Import existing bookings

  1. Tick Bookings for each mapped room and click Save.
  2. Click Import existing bookings.

Note: For manually imported bookings, Expedia only sends a summary. Modifications to these bookings are imported automatically.

Step 6: Activate the connection

  1. Check your inventory in Beds24: bookings from Expedia are imported and dates booked through other sources are blocked.
  2. Tick Inventory and Rates for each mapped room. Bookings should already be ticked; tick it if not.
  3. Click Save.

Step 7: Check the connection

  1. Click View actual data to see which prices and availability are sent to Expedia. View actual data showing the prices and availability sent to Expedia
  2. Click View Status at Expedia to check your property's status at Expedia. If you see an error you don't understand, contact Expedia support.

Expected result: The connection works if you receive no error messages and Expedia shows the right prices and availability. If you receive errors, see Expedia error messages.

Several rates at Expedia

Expedia supports more than one price per room and date, for example for different minimum stays, meal options, or refundable and non-refundable prices:

  • Derived (linked) prices: Expedia calculates the other rates from one rate using preset rules. You send one rate from Beds24. Ask your Expedia representative to set this up.
  • Several rate plan IDs: Expedia sets up several rate plan IDs per room, each with its own booking conditions, and you map a different Beds24 price to each. See Setting Prices for Booking Channels. If you don't have the rate plan IDs you need, ask Expedia to add them, or create them in Expedia Rooms and Rate Plans.

Price multiplier and updates

  • To mark prices up or down or convert the currency, enter * and the multiplier in Multiplier, for example *1.23 or *[CONVERT:IDR-EUR]. See Price multiplier.
  • Changes to availability and prices are sent instantly; changes to settings go with the next update. See Updates and changes.
  • By default, all available rooms are sent. To limit the bookings Expedia can accept, use Channel Inventory.

Manage Expedia bookings

Virtual credit cards

To charge Expedia virtual cards automatically on the date they become valid:

  1. Make sure Expedia virtual cards are activated at Expedia. Expedia virtual card setting in the Expedia extranet
  2. Set Auto Process Virtual Cards = Yes.
  3. Make sure your Merchant Category Code (MCC) in Stripe is Lodging.

Warning: Automatic charging needs Stripe. Without Stripe, Beds24 creates a pending payment that can't be collected. See also Stripe Channel Virtual Cards.

If you charge virtual cards manually, you can only charge them on the check-out date.

Expedia Collect

If Expedia collects the payment from the guest, it sends the amount you owe Expedia, not the amount the guest paid. The guest gets the invoice from Expedia, so you don't need to invoice them for the room. Channel collect payments show in the booking invoice if Import Channel Collect Payments in Settings > Channel Manager is set to Yes.

Send and receive messages

  1. Add the API Messages component to your Dashboard to see all messages. The conversation with one guest is on the booking's API Messages tab.
  2. To send Auto Action messages through Expedia, set Send Message on the Messaging tab of the Auto Action to one of the API options. Add a plain text version of the message. See Auto Actions.
  • Expedia supports attachments in PDF, JPG, PNG and GIF format.
  • If you use dependencies, you can only assign bookings to a room in the same property as the room mapped to Expedia.

See also OTA Messages.

Report no-shows, invalid cards and changes

Buttons on the Details tab of the booking let you report to Expedia:

  • invalid cards
  • date changes
  • no-shows
  • changed cancellation penalties and changed stay prices
  • a cancellation the guest asked for. You agree to waive, or refund if applicable, any cancellation fees and other amounts, and Expedia Group doesn't charge compensation for them.
  • a cancellation because the payment method is invalid (Hotel Collect only). The same waiver applies.

Other changes to Expedia bookings are made at Expedia. Cancelling a booking in Beds24 doesn't cancel it at Expedia and can cause a double booking: ask Expedia or the guest to cancel it, and the cancellation is sent to Beds24. To keep a change you made in Beds24, set Allow Channel Modifications on the booking's Details tab, or as the default in Settings > Channel Manager. See Channel manager settings.

Reviews

When a guest reviews you, read it on the booking's Mail & Action tab and reply to the guest from there. See How Reviews work.

Info codes

Info codes on the Info tab of the booking show relevant information.

Code Meaning
EXPEDIACOLLECT Expedia sent a virtual card
CARDTOSTRIPE Card details were sent to Stripe
STRIPEPAYMENT Payment imported from Stripe
STRIPEFAIL Card couldn't be sent to Stripe
CARDEXPIRES The card expires before check-in

To use a different invoice template for Expedia bookings, use Invoicees. For card details, see Card Number Collection.

Important notes

  • Expedia applies minimum and maximum stays either arrival-based or stay-through. This is a hotel-level setting at Expedia that any Expedia market manager can change: contact Expedia to change it.
  • Depending on the acquisition type, Expedia rate plan IDs may need to end with an "A". Updates don't work without the right code.
  • With Expedia occupancy pricing, Beds24 can send a room price, a double occupancy price and a single occupancy price. To update 3-person, 4-person and other prices, use the Expedia daily price model with several rate plan IDs, each with the maximum occupancy set at Expedia, and map each to a Beds24 price.
  • Using the same Expedia hotel ID for different Beds24 properties isn't recommended. Expedia accepts only one update per property at a time and rejects the second, which can cause overbookings.

Disconnect Expedia

  • Untick Inventory, Prices and Bookings for a room to stop the synchronisation for that room.
  • To disconnect completely, log in to Expedia Partner Central and disconnect Beds24 in Expedia Connectivity Settings. Disconnect all options.
