Require a deposit or full payment for direct bookings from your booking page: the guest can't complete the booking without paying. Payments go directly into your account with the payment gateway the guest uses, and Beds24 adds the amount to the Charges and Payments tab of the booking.
Prerequisites: an account with the payment gateway you want to use, connected to Beds24.
For bank transfers or cheques, use Offline Payments with instructions for the guest. The guest confirms that they'll pay to finish the booking. You then enter the payment manually on the Charges and Payments tab and change the booking status manually if needed.
Quick Guide
- In Settings > Booking Engine, choose the Non Payment Booking Status and set the deposit amount.
- Add payment instructions and a header for the payment screen.
- Connect one or more payment gateways in Settings > Payments > Payment Gateways.
- Set Booking Type to Deposit Collection 1 or Deposit Collection 2 in Settings > Booking Engine.
Step 1: Activate deposit collection
Go to Settings > Booking Engine and select the Non Payment Booking Status. It decides what happens to a booking where the guest doesn't complete the payment:
| Status | What happens |
|---|---|
| Request | When the guest clicks Confirm Booking, the room is reserved and other guests can't book it. After a successful payment, the status changes to Confirmed automatically. If the payment is aborted or fails, the room stays blocked with the Request status: change the status to Cancelled manually, or use an Auto Action to cancel Request bookings after a set time. |
| Inquiry | When the guest clicks Confirm Booking, the booking is added to the calendar but doesn't block the room; other guests can still book the dates. After a successful payment, the status changes to Confirmed automatically. If the payment is aborted or fails, the room isn't blocked: change the status to Cancelled manually, or use an Auto Action to cancel these bookings after a set time. |
| Cancelled | The room isn't reserved until the payment is complete. Other guests can book the room until then, so there's a small risk of double bookings. |
Set up Auto Actions in Settings > Guest Management > Auto Actions; see the example Change the status of all "Request" bookings to "Cancelled" after three days.
Note: The Request Bookings option Do not block the room in Settings > Booking Engine is deprecated since the Inquiry status was introduced.
Then set the amount to collect: a fixed amount, a percentage of the total, or the value of the first night's accommodation. The currency is the currency to receive payments set in Settings > Properties > Description.
Step 2: Add payment instructions for guests
- Payment header: click Deposit Collection Header and enter the general information for the header of the payment screen. You can use HTML to style it and Template Variables to personalise it.
- Payment requests: the Payment Request Header and Payment Request Confirmation are shown to guests if you send payment request links after the booking is made. See How to setup Payments.
Add a logo to the payment page:
- Go to Settings > Booking Engine > Pictures, choose your logo file and import it.
- Scroll to the picture, click Manage and copy the URL.
- Go to Settings > Payments > Payment Collection (Payment Header) and click Edit.
- Click the Image icon, paste the URL into the URL box, add a description if needed, resize the image and click OK. Position the image (centre, left or right) with the other editor features.
- Click Save.
Step 3: Enable payment gateways
- Go to Settings > Payments > Payment Gateways, open a gateway (for example Stripe or PayPal) and enter the account information to connect it.
- If you offer several options, select the order they're shown in.
- Optional: enter your own Title to replace the default title the guest sees, and an Instruction to show under the payment button.
For detailed instructions per gateway, use the context help (? icons) and Help at the top right of the gateway page.
Note: Use Settings > Payments > Payment Gateways > Credit Card Collection only if you want to collect card details without charging them.
Step 4: Adjust your booking rule
- Go to Settings > Booking Engine.
- Set Booking Type to Deposit Collection 1 or Deposit Collection 2.
Expected result: guests must pay the deposit to complete a booking on your booking page.
Deposit Collection 1 and 2 can collect different amounts. You can set individual rules for normal, near-term and exceptional-period bookings, and directly in offers or fixed prices. This lets you, for example, take a different deposit in high and low season, or for normal and last-minute bookings.
Note: Booking rules for fixed prices override the rules for rooms, and booking rules for offers override the property booking rules.
