Offer only a limited number of your rooms for sale and open another room automatically each time one is booked. A virtual room controls how many units of the real room are open, and the inventory tops up with every new booking until all rooms are booked.
Use this setup if you have several individual rooms connected to individual listings at a channel and want to limit how many rooms you offer at any one time.
Warning: Test your dependencies thoroughly. Connecting one physical room more than once to a booking channel risks overbookings. See How to setup Room Linking and Dependencies.
Quick Guide
- Create a real room (Top-up) with the full quantity.
- Create a virtual room (Double) with the quantity you want to offer.
- In Settings > Properties > Rooms > Dependencies, make Double require availability in Top-up and assign bookings to Top-up.
- Set Top-up to use the prices of Double.
How it works
- Bookings are assigned to the real room (Top-up).
- The virtual room (Double) controls the maximum number of units available in Top-up.
- The number of available units shows as the lower number and is topped up as each new booking is created in the Calendar, until the bookings reach the total inventory.
Set up auto top-up
Example: A hotel has 10 double rooms. It wants to offer only 2 rooms for booking and open another room whenever it receives a booking.
Step 1: Create the real room
- Go to Settings > Properties > Rooms and add a room.
- In Settings > Properties > Rooms > Setup:
- Set Name = Top-up.
- Set Quantity = 10.
- Optional: set Sell Priority = Hide to hide the room from the booking page.
- Set Overbooking Protection = Property.
Use the context help (?) for further setup instructions.
Step 2: Create the virtual room
- Go to Settings > Properties > Rooms and add a room.
- In Settings > Properties > Rooms > Setup:
- Set Name = Double.
- Set Quantity = 2.
- Give all other settings the same characteristics as the real room.
- Optional: set Sell Priority = Hide to hide the virtual room from the booking page.
- Set Overbooking Protection = Property.
Step 3: Set the dependencies
In Settings > Properties > Rooms > Dependencies:
| Setting | Double (virtual) | Top-up (real) |
|---|---|---|
| Requires Availability in | Top-up | Default |
| Combination Logic | Any room must be available | Default |
| Assign Bookings to | Top-up | Default |
| Use Prices from | Default | Double (Double needs prices for the availability calculation) |
Step 4: Check existing bookings
If you already have bookings in the virtual room, move them to the real room.
Expected result: 2 rooms show as available. After each booking, another unit of Top-up opens until all 10 are booked.
Manage bookings
Add manual bookings to the real room, not the virtual room. See Manual and existing bookings.
