Dynamic Multi Calendar

The Dynamic Multi-Calendar shows all your properties, rooms, prices, availability and restrictions in one place, and lets you change them directly. You can drag and drop bookings to change the room or dates, change prices and inventory, set minimum and maximum stays, add check-in and check-out restrictions, enter bookings manually and keep notes. You can customise the calendar and save multiple views.

Note: The Dynamic Multi-Calendar is only available in the new control panel. To switch to the new control panel, go to Settings > Account > Preferences.

Warning: Accounts with more than ten properties might see performance issues. Beds24 is aware of this and is working on it. If you see other problems, send Beds24 a support ticket. If the calendar is too slow for your account, try the Legacy Calendar.

Table of Contents

Dates

Scroll the calendar left and right, or choose a specific date. Click Today to go back to today's date.

By default, the calendar opens on the current date. In the view settings you can choose to remember the last date you viewed.

Inventory

The calendar shows the number of rooms left to sell. Click the number to open a popup, change it and save, to quickly change your availability.

Note: You can only lower the number. The maximum is based on Quantity of this type in Settings > Properties > Rooms > Setup and any existing bookings.

You can also show property occupancy statistics next to the inventory. Customise them in Settings > Account > Preferences.

Bookings

Bookings show in red, or in the colour you selected. Hover over a booking to see more information, or click it to open it.

Add a booking manually

Click the check-in date in the row of the room.

Check guests in and out, info codes and flags

Right-click a booking to apply an info code, for example to check a guest in or out, or to add a flag. Define info codes and flag values in Settings > Account > Preferences.

Drag and drop

Drag and drop a booking to change its room, check-in date or departure date. Drag and drop is off by default, to avoid accidental changes.

Unallocated bookings

To show unallocated bookings in the calendar, go to Settings > Properties > Rooms > Setup > Booking Allocation and enter a name in Unallocated Unit Name. The calendar shows unallocated bookings in a row with this name.

Prices

Daily prices

Daily prices show in the colour you set for them. To enter or change a price:

  1. Click the day the price starts. A popup opens.
  2. Set the price and the date range.
  3. Click Save.

You can change individual dates afterwards. To remove a price, set it to 0 (zero).

Fixed prices

If you use fixed prices, they show for each room in green, or in the colour set in the fixed price. Hover over a fixed price to see more information, or click it to open it.

Multiplier

The multiplier adjusts all daily prices and fixed prices by a percentage. Enter a number above 100 to increase prices and below 100 to lower them.

To exclude a fixed price from the multiplier, set Allow Multiplier = No on the Summary tab of the fixed price.

Minimum stay on a price

If a price has a minimum stay of more than one day, an asterisk shows next to the price, for example 74.82*.

Minimum stay

A minimum stay you set in the calendar applies and overrides the minimum stay in Settings > Properties > Rooms > Setup, and in daily prices and rates with a higher minimum stay.

Maximum stay

A maximum stay you set in the calendar applies and overrides the maximum stay in Settings > Properties > Rooms > Setup, and in daily prices and rates with a lower maximum stay.

Diary and notes

Click the pencil icon to add a diary note for a date, or a note for a property, room or unit. A speech-bubble icon shows where a note exists.

Diary notes also show in the Diary on the Dashboard on that day.

Properties, rooms and units

  • Go to a property: click Properties at the top, then the property.
  • Expand or collapse properties: under Properties, choose to show one or more properties expanded or collapsed. By default one property is expanded at a time. Depending on the power of your computer, you can change this number in Settings.
  • Expand or collapse one property or room: click the arrow icon next to its name.
  • Settings menu per row: in the Views menu, choose to add a settings icon (⋯) for properties, rooms and units. Click the icon next to a name to open a menu with customisation options and shortcuts. Use this menu to change the order of the rows under each unit.

Unhide a property, room or unit

  • Property: click Properties in the menu above the calendar and tick the property.
  • Room: click the settings icon (⋯) next to the property name, find the hidden room and tick it.
  • Unit: click the settings icon (⋯) next to the room name, find the hidden unit and tick it.

Room management

Select and change the unit status next to the unit name. The values are the Unit Status Values set in Settings > Account > Preferences.

Views

Save your customisations as views and open them later with the Views button. In the Views menu you can also change or delete views. Reset restores the default.

Examples:

Customise rows and settings

  • Rows: in the Views menu, click Rows to choose which information shows.
  • First column width: use the arrows at the top left of the calendar to fit the length of your property and room names.
  • Row order: use the settings icon (⋯) to move rows up and down.
  • Settings: more customisation options are under Settings in the calendar.

Use on mobile devices

The calendar is responsive, so you can use it on a mobile device and scroll to the dates you want. To show or hide information on a mobile device, create and save a view for it.
