How to Setup Agency & Multiple Properties

Run several properties from one Beds24 account, either managed centrally from a master account or with sub accounts so owners and staff have their own login. Each property keeps its own settings, booking page and channel mapping, and a multiple property booking page can show them all together.

Quick Guide

  1. Add your properties in Settings > Properties, or copy an existing property.
  2. If owners or staff need their own login, create sub accounts from the User icon > Account Management.
  3. Customise the multiple property booking page in Settings > Booking Engine > Multi Booking Page.
  4. Generate a widget or iframe for all properties in Settings > Booking Engine > Booking Widgets with Property set to All.

How multiple properties work

A user account can hold one or many properties. Each property has its own:

  • booking page
  • booking rules
  • booking questions
  • upsell items
  • deposit collection rules and payment gateways
  • confirmation messages
  • Auto Actions and Auto Action emails
  • Yield Optimiser rules
  • channel manager mapping, if you use the channel manager

Other user accounts can get read-only or full write access to these properties. The order you set things up in depends on how your properties are managed: centrally from one master account, or by owners and staff with their own sub accounts.

Manage all properties from one master account

Steps:

  1. Go to Settings > Properties and click Add New Property, or copy a similar existing property and edit the copy. A copy includes all rooms and prices.
  2. Set up each property as described in How to Do the initial Setup.
  3. If a property needs its own login, or must send guest emails from its own email account, create a sub account for it. See Give owners and staff their own login.

Expected result: all properties appear in your master account, each with its own settings.

Tip: if your properties are similar, set up one property completely, then copy it and change what's different.

Note: you can also upload property data with the Beds24 API. See How to use API.

Guest emails from the master account use the master account's email settings. See Outgoing Email.

Give owners and staff their own login

Sub accounts give owners or staff their own access to one property or a group of properties. Each sub account has its own username and password, and can have restricted or full access to other accounts or individual properties.

Steps:

  1. Click the User icon at the top right, then Account Management.
  2. Create a sub account. For a property owner, give it the role Owner, and customise the access if you need to.
  3. Optional: set up outgoing email in the sub account, so it sends guest messages from its own email address. See Outgoing Email.
  4. If the properties belong in the sub account, log in to it and set up the properties and rooms as described in How to Do the initial Setup.

Expected result: the owner or staff member logs in with their own username and sees only the properties you gave them access to.

Note: in the old control panel, Account Management is Sub Account at the top right. For all sub account options, see Sub Account.

Tip: at the bottom of Account Management you can download property information as a .csv file.

Track owner commission and expenses

  • Commission: set up a Custom Report that calculates commission automatically. Use Routines to send the report automatically, for example to owners.
  • Expenses: create a property called "Expenses" with one room in Settings > Properties > Rooms. Add each expense as a booking with a negative value, then create a custom report that lists all expenses.
  • More accounting functions: connect BedPlus or another service that offers them.

Set up the multiple property booking page

Beds24 creates a booking page with all your properties automatically. It lists each property with a link to that property's booking page, where guests make their booking.

Steps:

  1. Go to Settings > Booking Engine > Multi Booking Page > Page Design and customise the page.
  2. Optional: to let guests search by criteria, create the criteria in Settings > Booking Engine > Multi Booking Page > Search Criteria.
  3. Go to Settings > Booking Engine > Multi Booking Page > Property Settings and assign the criteria to each property.

Expected result: guests see all your properties on one page and can filter them by your search criteria.

For all page options, see How to setup Multiple Properties.

Add a widget or embedded booking page for all properties

Set up and assign your search criteria first, then choose one of these:

  • Booking widget: go to Settings > Booking Engine > Booking Widgets. Set Property to All, design your widget and set Search Filter to collapsed or open so guests see the search criteria. Generate the code and paste it into the source code of the page where the widget should appear.
  • Embedded booking page: go to Settings > Booking Engine > Booking Widgets > Iframe Generator. Set Property to All, generate the code and paste it into the source code of the page where the booking page should appear. See Embedded Iframe.

Note: in WordPress, switch the editor to Text before you paste the code. See Wordpress.

Group properties in the control panel

Give properties the same keyword in Group Keywords in Settings > Booking Engine > Multi Booking Page > Property Settings to group them. A group option then appears in the property selector on the Calendar page and opens all properties in the group. Separate several keywords with a comma.

Keyword format Effect
keyword1 The group is available to every account with access to the property.
keyword2! An exclamation mark at the end makes the group available only to the property's owner account.
keyword3!1234 1235 1236 An exclamation mark followed by account numbers makes the group available only to those accounts. Separate account numbers with a space.

Example: keyword1,keyword2!,keyword3!1234 1235 1236

Group keywords also show and hide properties on property list pages. A property list page opened with a group= parameter shows only properties with a matching group. A page opened with a nogroup= parameter hides them.

Copy settings and prices between properties

  • Single settings: wherever you see the copy icon next to a setting, click it to copy that value to other rooms or properties.
  • Several settings at once: click the User icon > Account Management > Manage Account > Clone Property Settings and choose the settings to copy from one property to another.
  • Prices: set up one set of prices and apply it to other properties, with or without an offset.

Troubleshooting

Issue / Error Likely cause Resolution
Guest emails for a property are sent from the master account's email address. Properties in the master account use the master account's email settings. Create a sub account for the property and set up its own outgoing email. See Give owners and staff their own login.
The widget for all properties doesn't show the search criteria. Search Filter is not set to show them, or the criteria aren't assigned to the properties. Set Search Filter to collapsed or open, and assign the criteria in Multi Booking Page > Property Settings.
A property group doesn't appear for another account. The keyword ends with !, which limits the group to the owner account or the listed account numbers. Remove the !, or add the account number after it.

Important notes

  • Copying a property copies all its rooms and prices.
  • Each property has its own channel manager mapping.
  • Sub accounts can have restricted or full access, so check the access before you share a login with an owner.
